Key takeaways

  • State that you are unwell, identify the dates, request leave and say when you will update your manager.
  • Paid sick leave depends on applicable state or service rules and the employment policy; no one all-India office allowance applies to every employee.
  • ESIC sickness benefit is separate from employer leave and has its own insurance, contribution and medical-certification conditions.

Search results for this topic are mostly one-paragraph templates written as if you were in school. This guide does the parts they skip: which message to send at 8 am, what you are actually entitled to, when a medical certificate comes into it, and what to do when you have no leave left. The free generator writes a draft for each case.

What the law gives you for a sick day, and what it does not

Check three separate records: the state or service law that covers your employment, the employer’s written leave policy and, if applicable, your ESI coverage. An employer policy does not erase statutory rights. Official: the four labour codes were implemented from 21 November 2025. Historical factory-law summaries and a Bill as introduced are not reliable statements of today’s entitlement.

Official: ESIC’s Standard Note describes ordinary sickness benefit at 70% of average daily wages, for a maximum of 91 days in two consecutive benefit periods, with the stated 78-day contribution qualification in the corresponding contribution period and required medical certification. These are scheme conditions, not 91 days of employer-paid leave each calendar year. Verify the applicable benefit and contribution periods with ESIC for your claim. Code on Social Security section 41 prevents the specified overlap with paid work, paid leave or paid holidays. Do not claim both benefits for the same day without checking the statutory rule.

Same-day message, formal application or email: which one to send

People mix these up. The same-day message tells your manager you will not be there. The email or form is the record HR works from. For a sudden illness you usually need both, in that order.

MessageSend whenLengthMust contain
Same-day chat (WhatsApp, Slack, Teams)Before work starts, or as soon as you cannot work2 to 3 linesYou are unwell, which date(s), reachable or not, who can cover urgent work
Email to manager (cc HR if your policy says so)The same day, once you can typeUnder 100 wordsDates, number of days, certificate plan, reachability
Formal application or HRMS entryOn the day, or as soon as you are back, whichever your policy allows4 to 6 linesDates, leave type, balance question, signature
Extension noteThe day before you were due back, if you can2 to 3 linesNew return date, certificate plan
Our recommended practice. It is etiquette guidance from the editorial team, not a legal requirement.
  • Say the date you will be back, or the date you will update them if you do not know.
  • Say whether you will check messages. “Offline today” saves your manager from guessing.
  • Name one person who can cover urgent work, or ask your manager to pick.
  • Do not wait to send it until you feel better. A late message is what turns an ordinary sick day into a conversation.

Free sick leave email and application generator

Choose email, a short chat message or a formal letter, add the dates, and press Write the message. It counts calendar days and working days after your weekly offs, adds the certificate and balance lines if you pick them, and lets you copy the result. Change the wording to match how you normally write to your manager.

Sick leave email, chat message or letter generator
Pick the dates and the kind of message. It counts the days, skips your weekly offs, and writes a short draft you can edit. It never asks for a diagnosis. Nothing you type leaves this page.

5. Sick leave on the day before or after a holiday or weekend

email
Subject: Sick leave: [Name], Mon 12 Oct

Hi [Manager],

I am unwell and need sick leave for 1 working day, 12 October 2026 (Monday).

Dear Sir/Madam,

I am unwell and need sick leave for 3 working days, from 6 October 2026 to 8 October 2026. I will share a medical certificate when I return.

Please mark the leave as sick leave. If my balance does not cover it, please advise whether to use casual or earned leave.

I request you to grant the leave, and I will resume work on the next working day.

Yours sincerely,

7. Hospitalisation or planned surgery

email
Subject: Medical leave: [Name], 14 to 25 Oct (planned procedure)

Hi [Manager], Hi HR team,

I have a planned medical procedure and will need leave from 14 October 2026 (Wednesday) to 25 October 2026 (Sunday). My doctor has advised rest for the recovery period; I will share the certificate and, when I have them, the discharge papers.

I am handing over my work to [Colleague] before 13 October and will send a written note by then. Please let me know which leave types HR will apply, and whether any days will be loss of pay, so I can plan.

I will update you on my return date as soon as I know it.

Thank you,
[Name]

For a long absence, ask HR two things in writing: which leave types will be used, and whether any ESI or insurance benefit applies to you. Do not assume.

8. Mental-health day, without sharing details

For routine notification you can usually say “unwell” or “health reasons” without sharing a detailed diagnosis in a group message. A required medical certificate or statutory benefit claim may need specified information. Submit that evidence privately through the authorised process.

chat or email
Hi [Manager], I am not well and need to take sick leave today, 6 October. I will be offline and back tomorrow. [Colleague] can cover anything urgent. Thanks, [Name]

9. Morning message on WhatsApp or Slack

chat
Hi [Manager], I have a fever and cannot work today. Taking sick leave for 6 Oct, offline. [Colleague] can cover urgent items. I will email the formal note in a bit and update you tomorrow morning.

Short is fine. Three things matter: which day(s), whether you are reachable, who covers.

When you need a medical certificate, and what to do when you come back

There is no universal three-day certificate threshold applied by this guide. The applicable state or service rule, employer policy and benefit scheme decide when a certificate or fitness confirmation is required. Ask HR for the exact written provision and use the authorised medical certification required for an ESI claim.

SituationRequirementAction
Employer sick-leave approvalApplicable state/service rules and written workplace procedureAsk what triggers a certificate and which issuer is accepted
ESI sickness benefitScheme medical certification and contribution/benefit conditionsUse the ESIC authorised process; an ordinary employer note may not replace it
Return after a substantial absenceAny applicable fitness or occupational-safety procedureConfirm the required return document before the planned reporting date
Medical evidence: verify the governing requirement

What to get from the doctor

  • The dates you were advised to rest, with the day of consultation.
  • The doctor’s name, registration number and clinic details, signed and dated.
  • The certification and fitness wording required by the applicable rule or scheme; share detailed health records only through the authorised private channel.
  • A fitness certificate if your policy asks for one on return.
  • Keep the original. Share a scan, and offer the original if HR asks.

When you are back

  1. Message your manager when you start: “Back, thanks for covering. What should I pick up first?”
  2. Send the certificate and fitness note to HR in the same thread as your leave email.
  3. Check the leave entry in the HR system shows the right dates and type.
  4. Thank whoever covered. It costs nothing and next time you ask it is easier.

What not to over-share

  • Detailed health information. Keep routine team notifications brief. Submit any information required by medical-certification or benefit procedures privately.
  • Medicines, reports and scans sent over chat. If HR needs a document, send the certificate, not the lab report.
  • Family health details unless you are taking leave to care for someone and your policy asks.
  • Promises you cannot keep, like “I will check email from bed”. Either you are on leave or you are not.

If your leave balance is zero

Do not skip the message because you have no leave. Send it, say you have no balance, and ask HR what your options are. These are the usual routes; which ones your company allows is a policy matter.

OptionHow it worksWatch for
Casual or earned leave insteadAsk HR to adjust the leave type if sick leave is exhaustedSome policies cap how much can be converted
Loss of pay (LOP)The days are unpaidAsk how many days of salary are deducted and from which month
Comp-offIf you worked a holiday or weekend earlier, ask to use that creditComp-offs often expire
Advance or negative leaveSome employers allow borrowing against next year’s leaveMay be adjusted at exit
Work from homeOnly if you are well enough and your manager agreesDo not do it to avoid a leave entry if you are not fit; it can blur what you actually took
ESI sickness benefitIf you are an insured person and qualify, the ESI Corporation pays 70 per cent of wages on a certified illnessUnder s.41(2) there is no benefit for a day on which you work or are on paid leave or a paid holiday
Workplace options require approval. ESI overlap restrictions: Code on Social Security, 2020, section 41.
message to HR
Subject: Sick leave balance: [Name], 6 to 8 Oct

Hi [HR contact],

I have been unwell since 6 October and have used my sick leave balance. Could you let me know how the remaining days will be handled: casual or earned leave, comp-off, or loss of pay?

I have a medical certificate and can send it today.

Thank you,
[Name]

Common mistakes with sick leave messages

  • Sending it late or not at all. Message before your working day starts, even if the email comes later.
  • No dates or return date. “Not well, will come when better” leaves everyone guessing.
  • Using the school-style “respected sir” letter for a one-day absence. An email in plain words is normal at most offices.
  • Sharing too much. No diagnosis is needed in the message.
  • Sharing too little. Do not go silent on day two. Send an extension note.
  • Forgetting the leave entry. A message to your manager does not always create the record in the HR system. Check.
  • Working while on leave, then being unable to say which days were leave. Pick one.
  • Editing or backdating a certificate. Do not. Ask the doctor to correct it.

Sick leave application FAQs

How many sick leaves is an employee entitled to in India?

There is no one paid-sick-leave allowance for every Indian office employee. Check the applicable state or service rule and written employer policy; a policy cannot remove a statutory entitlement.

Is a medical certificate compulsory for sick leave?

The applicable state or service rules, employer policy and benefit scheme decide this. There is no universal three-day threshold in this guide. Ask for the written requirement and use the authorised certification process.

How do I write a sick leave application for office?

Say the dates, that you are unwell, the number of working days, whether you are reachable and who can cover urgent work. Add the certificate plan if it is more than a day or two. The samples above and the generator give wording for each case.

Do I have to say what is wrong with me?

A routine team notification can usually say “unwell” or “health reasons”. Medical certification or a statutory benefit claim may require specified details; use the authorised private channel.

What is ESI sickness benefit?

It is a separate cash benefit for eligible insured persons. ESIC describes the ordinary rate as 70% of average daily wages, with a maximum of 91 days in two consecutive benefit periods and the stated 78-day contribution qualification. Certification and the correct periods must be checked for the claim.

What if I have no sick leave left?

Send the message anyway and ask HR in writing whether the days can be casual or earned leave, comp-off, or loss of pay. If you are ESI-covered, ask about sickness benefit too.

Can I take sick leave on a Monday or Friday?

Yes, if you are unwell. It tends to get a second look, so offer a medical certificate in the message rather than waiting to be asked.

Should I send a WhatsApp message or an email?

Both, in order. A short chat message before work starts tells your manager you are out; an email or HR system entry gives HR the record. Use whichever your company names in its policy.

If you are taking sick days because the job is wearing you down, that is worth a conversation of its own. Our switching jobs articles are the place to start when you are ready.

Leave without pay: check the deduction, not a generic percentage

When your paid leave balance is exhausted, ask whether another eligible leave category can be used and whether unpaid leave is sanctioned. Do not assume an unapproved absence becomes approved simply because you accept a deduction. Obtain the attendance entry and payroll basis in writing.

Official: Code on Wages section 18 identifies authorised deductions; section 20 addresses deductions for absence from duty and the relevant proportional basis. The actual wage period, required working time, applicable rules and attendance record matter. This guide therefore does not multiply monthly CTC by an invented daily rate or use a universal 30-day divisor. Ask payroll to show the wage base, period and absent time in its calculation.

10. Request the medical-certificate provision

Subject: Sick leave documentation — [employee reference]

Hello HR Team,

I have requested sick leave from [start] to [end]. Please share the written rule or policy determining whether a medical certificate is required, the accepted issuer and the submission deadline. I will provide required evidence through the authorised private channel.

Please also confirm the attendance category and whether any fitness document is required before I return.

Regards,
[Name]

11. ESI claim and employer attendance reconciliation

Subject: Sick leave and ESI process — [employee reference]

Hello HR Team,

I am unable to work during [dates] and request confirmation of the attendance entry for this absence. Please confirm my ESI coverage and the office handling the employer records needed for a sickness-benefit claim. I will check eligibility and authorised certification with ESIC.

Please identify any employer-paid leave for the same dates so I can check the applicable overlap restrictions before submitting the claim.

Regards,
[Name]

12. Request an itemised unpaid-leave deduction

Subject: Payroll reconciliation for sick absence — [period]

Hello Payroll Team,

Please provide the itemised basis for the absence deduction recorded in [pay period], including the wage base, required working time, absent time and applicable rule. Please confirm which dates were approved as paid leave and which were recorded as unpaid leave.

I have attached the approval reference for reconciliation. If the attendance entry differs from the approval, please correct it and explain the payroll adjustment.

Regards,
