Our services span the entire product life cycle for our clients in the pharmaceutical and medical device industry.The Event Coordinator supports the planning, management, and execution of pharmaceutical marketing, medical education, and training programs. Working closely with Event Planners and reporting to the Director of Meetings & Events, this role helps coordinate programs from start to finish, including venue sourcing, travel logistics, healthcare professional communications, on-site meeting support, and program reconciliation, while upholding all client-specific compliance, privacy, and pharmaceutical industry standards.Responsibilities:Work with Director and/or Event Planners to help facilitate pharmaceutical medical education programs including:Large scale programs such as Speaker Trainings, Product Theatres, Symposiums, Customer Receptions/Dinners, CongressesSmall to mid-size programs such as Advisory Boards, KOL/HCP Engagements, local trainings1:1 Consulting Meetings and HCP meals at large medical congresses/conventionsAssist Meetings & Events Team with all logistical aspects of programs including:Manage registration websites & HCP communicationsBook air travel and ground transportationProcess honoraria paymentsProcess HCP expense reimbursement paymentsResearch/source venues for eventsOrder meeting materials and suppliesPrint/ship materialsData InputTravel to meeting locations and support Event Planners with on-site logisticsVerify final attendee list and cross reference for accuracyAssist with the reconciliation process upon program completionQualifications:A bachelor’s degree or equivalent work experience1+ years relevant experience; administrative support, event planning and/or speaker bureau exposure (preferred)Microsoft Office Suite – Excel, Word, Power point, OutlookAdobe AcrobatStrong multitasking and organizational skills in a fast-paced environmentExcellent communication, customer service, and problem-solving abilitiesProfessional, detail-oriented, and proactive team player with a strong work ethicRequirements:This role is hybrid; candidates must be able to work from the Red Bank, NJ office (1-2 times per week) to support meeting operations, preparation, and distribution of meeting materialsAbility to travel up to 25%, including occasional weekends, to support business and program objectives (typically 4-6 times a year)Must be able to pack and lift boxes up to 20 poundsIQVIA is a leading global provider of clinical research services, commercial insights and healthcare intelligence to the life sciences and healthcare industries. The actual base pay offered may vary based on a number of factors including job-related qualifications such as knowledge, skills, education, and experience; location; and/or schedule (full or part-time). Dependent on the position offered, incentive plans, bonuses, and/or other forms of compensation may be offered, in addition to a range of health and welfare and/or other benefits.

Required Qualifications

  • A bachelor’s degree or equivalent work experience (experience)
  • 1+ years relevant experience; administrative support, event planning and/or speaker bureau exposure (preferred) (experience, 1 years)
  • Microsoft Office Suite – Excel, Word, Power point, Outlook (experience)
  • Adobe Acrobat (experience)
  • Strong multitasking and organizational skills in a fast-paced environment (experience)
