Company:MarshDescription:About the teamThe Downstream Energy team at Marsh places and services complex insurance programmes for refineries, petrochemical facilities, and integrated energy clients across Asia. We manage long-term agreements (LTAs) for some of the Region’s largest energy operators and work closely with underwriters in Singapore, London and Dubai through our global offices.We are hiring an Administrative Assistant based in Manila to support the broking team with placement administration, billing coordination, and day-to-day documentation.Role purposeTo provide high-quality administrative and processing support to a team of senior brokers handling Downstream Energy placements across Asia. The role is central to keeping new business, renewals, endorsements, and billing moving accurately and on schedule.Key responsibilitiesNew and renewal account billing (40%–50% of time)Ensure all signed slips are saved and filed in the correct account folder.Review mud maps to confirm each placement is in order before billing.Check that all subjectivities are in order and documented.Managing placement-related email traffic, including:Filing all confirmation-of-bound emails from reinsurance markets.Sending inter-office communication-sharing notes as agreed.Reverting to the client once all markets are bound.Endorsements billing (approx. 10%–15% of time)File all endorsement slips in the correct account folder.Issue inter-office communication-sharing notes as agreed.Engineering fee billing (approx. 10%–15% of time)Process engineering fee billing where required, working with the GERE (Engineers) / Advisory team.Keeping a record of technical materials in the onshore general folder, or in the respective account folder where account-specific.Payments, queries, and additional premium (approx. 20% of time)Liaise between Credit Control in Singapore and Finance in Kuala Lumpur, ensuring premium payments are monitored and transacted in a timely manner.Monitor prompt payment discounts and chase Finance where needed.Handle query emails from the Operations team and reinsurance markets.Calculate additional premium where applicable.Any other reasonable administrative task as required by the team.Required qualificationsBachelor’s degree in Business Administration, Finance, Accountancy, or a related field.10+ years of administrative, billing, or team-coordination experience, ideally in insurance broking, reinsurance, financial services, or a professional services environment.Advanced proficiency in Microsoft Excel, Word, Outlook, and SharePoint.Excellent written and spoken English; able to draft clear business correspondence to clients, markets, and inter-office contacts.Strong numeracy and attention to detail, particularly for premium calculations and billing accuracy.Proven ability to manage multiple deadlines across time zones and keep structured records.Preferred qualificationsPrior exposure to insurance broking operations, placement support, or premium billing.Familiarity with broking or policy administration systems (e.g., Marsh’s internal platforms or equivalent).Working knowledge of insurance terminology (slips, endorsements, subjectivities, additional premium, reinsurance markets).Experience supporting teams across multiple Asian markets.What we offerExposure to complex, international Downstream Energy placements and senior stakeholders across Asia.Hybrid working arrangement and Marsh’s standard benefits package for Philippines-based colleagues.A collaborative, cross-border team culture.Marsh (NYSE: MRSH) is a global leader in risk, reinsurance and capital, people and investments, and management consulting, advising clients in 130 countries. Required Qualifications
