Agency:McCann Job Function:Non Standard Job Profiles Job Subfunction: ContingentJob Description:People Services Administrator (Temporary Contract until end of 2026, with potential to extend)Solihull, Hybrid workingAbout the role:The People Services Administrator plays a vital role within the HR OperationsCentre of Excellence, providing essential first-line administrative support to our UK agencies in the OA network. This position is integral to our collaborative efforts with Agency People Teams, Talent Acquisition and Shared Services in supporting our workforce.The HR Operations team is focused on embedding and enhancing our services, driving results and optimising processes, strengthening collaboration with stakeholders and developing future focused initiatives, including self-service capabilities and automation.Key Responsibilities:Incoming queriesSignposting and sharing standard responses to incoming enquiriesTriaging and escalating incoming queries where appropriate to People Services Executives or the People Services Manager and/or other People Team as per guidelinesMaintaining customer focused and results driven at all timesOnboarding/Offboarding/Employment Changes:Drafting changes of terms and processing resignation and probation lettersData entry on Workday, updating staff files, completing, following up/filing reference requests incoming/outgoingArranging induction/access pass/IT kitIssuing probation/fixed term contract/contingent worker end date remindersSupporting People Service Executives and People Service Manager with other onboarding, offboarding and employment change administration and projects where requiredCompliance, Systems & Reporting:Processing purchase orders and supplier invoices for the people teamRunning standard monthly reports - headcount, FTC, probation review dates, contingent worker expiry dates, SOX IT audit, absence, reports for finance etcSupporting People Service Executives and People Service Manager with staff file and Right to Work in the UK audits, expiry reminders, ad-hoc reports and staff file updatesPayroll & Benefits:Adding and removing employees from benefits platforms, checking usage statsProviding responses and sign posting to incoming queries relating to payroll and benefitsTriaging and escalating incoming queries to Payroll team or People Services Executives as per guidelinesSupporting People Services Hub with other payroll and benefits related administration where requiredManaging Self:The People Services Administrator will be proactive in upskilling knowledge inthe HR Operations space and personal development – including completing GDPR & data security training, becoming an expert on applying our HR policies and guidelines, completing any other assigned learning, attending Employment Law training and embracing development opportunities and other opportunities as they arise.The role may include other duties and responsibilities as reasonably required by the company, commensurate with the role's level and scope, to meet business needs and changing circumstances.Skills & Competencies:Essentially, you will have:High level of attention to detailPrevious experience working in a HR Operations role / confidence with HRIS systemsA passion for continuous process improvementA good understanding of MS Office, with experience using Word as a minimum with a confident approach to learning new systems and processesCustomer-focused attitude with excellent communication skills and a commitment to delivering high quality serviceIdeally, you will have:Familiarity with Workday would be beneficialSome experience in a process driven environment and managing multiple tasks and prioritising effectivelyAwareness of the types of procedures that People Operations Centre of Excellence (CoE) undertakes with an understanding of HR policiesData entry skills, with a track record of 100% accuracy Omnicom’s policy requires employees to work in the office for a minimum of three days a week, unless additional in-office days are directed by their agency or manager. Responsibilities

  • Familiarity with Workday would be beneficial
  • Some experience in a process driven environment and managing multiple tasks and prioritising effectively
  • Awareness of the types of procedures that People Operations Centre of Excellence (CoE) undertakes with an understanding of HR policies
  • Data entry skills, with a track record of 100% accuracy
  • Omnicom’s policy requires employees to work in the office for a minimum of three days a week, unless additional in-office days are directed by their agency or manager. Our objective is to increase this requirement over time, and many of our agencies as well as Omnicom’s corporate group already require five days of in-office attendance.
