An increment letter should state the effective date, existing and revised salary, component breakdown and whether the change affects fixed pay or total CTC. An employee’s request should connect a proposed revision to evidence of contribution.

Key takeaways

  • Use the sample for your actual situation and replace every bracketed field.
  • An increment and a promotion are different. A percentage applied to CTC can leave monthly fixed gross almost unchanged if variable pay or benefits absorb the increase. Minimum-wage obligations and a discretionary annual increment are also different questions.
  • The free tool produces editable text or an arithmetic estimate; review the result before using it.

Compare the same salary base

Calculate the percentage using the same base and period on both sides. Annual CTC compared with monthly gross gives a meaningless percentage. A fixed-pay increase and a CTC increase should be shown separately if both change. State the effective date and whether an earlier payroll period will generate arrears. Ask for the revised component statement before estimating bank credit, because employee deductions and employer-side costs can change independently. A promotion can also change duties without producing the salary percentage you expected.

Support a request with a reviewable record

Describe the responsibilities added since the last review and the work delivered during a stated period. Use approved performance records, task outcomes and verifiable scope. If you refer to a market comparison, retain the date and comparable role; do not invent a benchmark. Keep the proposed revision open to discussion while asking for a definite review process. A salary request is not a resignation or an ultimatum unless you intentionally make it one. Record any agreed result in a corrected employer letter and compare the next payslip with that revision.

What the law or policy actually says

An increment and a promotion are different. A percentage applied to CTC can leave monthly fixed gross almost unchanged if variable pay or benefits absorb the increase. Minimum-wage obligations and a discretionary annual increment are also different questions.

Mistakes that can cause rejection or a correction request

A document can look polished and still fail its purpose. The common problem is a mismatch between the statement and the underlying record: a different exit date, an incomplete qualification, a wrong advertisement reference or an unauthorised signatory. Correct the record and the letter together. Do not solve the mismatch by hiding it inside a vague sentence.

  • Remove every unused bracketed field and sentence that does not apply.
  • Check the first paragraph gives the reader the actual action, role or document being requested.
  • Do not invent a signature, approval, registration, performance metric or statutory entitlement.
  • Keep the same dates, amounts and spelling in the form, attachment and email.
  • Follow the advertised or official submission channel and retain its acknowledgement.
  • Open the final attachment after export; confirm that it is readable and complete.

Submission, acknowledgement and correction

Keep the final version, its supporting records and the submission acknowledgement in a file you can retrieve. A message marked delivered shows transmission; it does not necessarily show approval or acceptance. If you need a decision, ask for the specific decision and reference rather than assuming that silence is consent.

If an error is discovered, identify the original document and the exact correction. Avoid sending several different versions without explaining which one should be used. An issuer should mark a replacement or corrected certificate according to its records procedure. An applicant should say that the attachment corrects a specified error without claiming that the receiver has already accepted it.

Use the minimum personal information needed for the purpose. A routine job or leave message rarely needs bank details, a full identity-document number or another person’s medical information. Where sensitive evidence is genuinely required, use the authorised private channel instead of a group chat. Keep confidential employer, student, patient and customer records out of public portfolio links.

Frequently asked questions

How is the salary increase percentage calculated?

Subtract old comparable pay from revised comparable pay, divide by old pay and multiply by 100. Use the same period and base on both sides.

Does a promotion guarantee an increment?

Read the written promotion and compensation decision. Duties, grade and pay can be recorded separately; request the revised component statement.

How should retrospective arrears be shown?

State the approved effective date, affected payroll periods and itemised difference. Ask payroll to identify deductions and the payment month separately.

What evidence supports a salary-review request?

Use verified added responsibilities and work outcomes during a stated period. Avoid invented market figures or promises of a particular percentage.

Should I include personal identification documents?

Include only what the verified recipient requires at the relevant stage. Avoid adding identity numbers, bank details or sensitive third-party information to routine correspondence. Use the official private submission channel for necessary evidence.

Does the generator send or save my details?

The tool works in your page and produces editable output. It does not upload, submit or automatically approve anything. Review the output and use your device’s copy command only when you are ready.

What if the recipient refuses the document?

Ask which requirement is unmet: format, authority, dates, evidence or submission procedure. Correct that issue and retain the response. Where a statutory or contractual dispute remains, use the applicable authority or obtain advice on the actual documents.

Do I need a stamp or digital signature?

The recipient’s requirements and the issuer’s authorised procedure decide this. A pasted signature or decorative stamp cannot establish authority. Ask for a genuine signed or properly issued digital document where one is required.
