A salary slip shows earnings, deductions, payroll period and net pay for a particular employee. Reconcile gross less deductions with the bank credit, and keep employer-side CTC costs separate from deductions taken from the employee’s wages.

Key takeaways

  • Basic, DA, HRA and special allowance are earnings labels; employee PF, professional tax, TDS and authorised recoveries are deductions. Gratuity provision and employer PF in CTC are not automatically employee deductions. LOP changes should be checked against approved attendance.
  • All example amounts are fictional arithmetic examples, not salary benchmarks or statutory defaults.
  • Use actual payroll amounts and the applicable policy; a calculator cannot verify eligibility.

What a small-firm salary slip should identify

Record the employer, employee, payroll period, issue date and relevant payroll reference, then show earnings and deductions in separate groups. Use the employee’s actual name and role in the issued document; the samples here use bracketed fields. A salary slip is a periodic payroll record. A salary certificate is a separate statement that may confirm current compensation for a particular purpose.

The layout should allow the employee to reproduce gross earnings, total deductions and net pay. Show attendance or loss-of-pay information where the authorised payroll format requires it. Do not make a generic template look like a real payslip by adding an invented signature, employee number or government identifier. Only the employer’s authorised process can issue the final record.

Ten illustrative payslip formats by situation

These fictional values illustrate reconciliation. They do not assert a typical salary for a job, a mandatory PF rate or a professional-tax schedule. Gross is already the earnings amount used in the example. A separate LOP adjustment shown below is illustrative; do not subtract it again if the earnings have already been reduced for the absence.

Enter the earnings actually paid in this period and the employee deductions separately. Keep employer-side PF, insurance and gratuity provision out of the employee-deduction fields. If LOP is already reflected in the earnings, leave the separate absence adjustment at zero. The output is labelled as a draft calculation and must be checked by authorised payroll before a salary slip is issued.

What law and payroll policy actually say

Official: Code on Wages, 2019 section 50 provides for wage slips in the prescribed form and manner. Sections 18 and 20 address authorised deductions and absence-related deductions. Check the applicable rules, appropriate government and actual payroll records; a template alone does not establish that a particular deduction is lawful.

A payslip explanation should distinguish accounting labels from legal wage definitions. An employer cannot settle every statutory calculation simply by calling most earnings a special allowance. Ask which wage base has been used for each contribution or benefit and which rule supports it. The calculator here deliberately accepts actual amounts instead of inventing a universal basic-pay percentage.

After an increment, check the effective date and whether arrears belong to the same period or an earlier one. When reconciling with a bank statement, identify any separately paid reimbursement or adjustment before declaring a mismatch. If the employer reissues a slip, preserve the correction reference and confirm whether statutory contribution records are also updated.

Read the statement before accepting the total

Ask payroll for a statement that identifies the salary period, earnings components, employee deductions and employer-side costs. A single headline can conceal the reason why the bank credit differs from your expectation. Compare the same month and the same employment period, especially after joining, an increment or an exit. A partial month, arrears and a delayed reimbursement can change the bank credit without changing the contracted annual salary.

Keep the appointment or revision letter beside the payroll statement. Match fixed pay first, then look at variable pay, attendance adjustments and deductions separately. If a figure is different, ask for its calculation and the document authorising the change. Do not assume that every difference is tax or PF. Conversely, a low deduction does not establish that a statutory contribution is correctly calculated.

Mistakes that make the calculation misleading

  • Do not divide headline CTC by twelve and call the result take-home.
  • Do not subtract employer PF twice, first from CTC and again as an employee deduction.
  • Do not include a target bonus as guaranteed monthly cash.
  • Do not assume professional tax is the same in every state or payroll month.
  • Do not assume a tax percentage without the applicable regime, income and declarations.
  • Do not use a gratuity provision as proof of gratuity eligibility or immediate payment.
  • Do not count a reimbursement twice if it is already included in the bank-credit reconciliation.
  • Do not label a homemade statement as an employer-issued document.

How to ask payroll for a correction

Editable illustrative sample
Subject: Request for payroll reconciliation — [month/reference]

Hello Payroll Team,

Please help reconcile the statement for [period] with my appointment / revision letter and bank credit. The component requiring clarification is [component], shown as ₹[amount]. My supporting record is [reference].

Please provide the calculation base, period and any approval supporting the adjustment, and advise whether a corrected statement will be issued. I am asking for a factual reconciliation rather than assuming that the difference has already been resolved.

Regards,
[Name / employee reference]

Keep the statement, approval records and payroll response together. If the correction changes deductions, ask whether the statutory or tax record also needs updating. Use the official HR channel and avoid forwarding salary documents containing unnecessary bank or identity details in a public group. For an unresolved statutory claim, the competent authority depends on the issue, location and employment coverage; do not treat every payroll disagreement as the same kind of case.

Frequently asked questions

Is a salary slip the same as a salary certificate?

No. A slip records a payroll period, while a certificate may confirm current salary for a stated purpose. Use the document the recipient requests.

Can I make my own slip for a loan?

You can prepare a draft for payroll review, but cannot present it as an employer-issued income record. Ask the lender what genuine alternative records it accepts.

Should employer PF appear as my deduction?

Employee PF is separate from employer-side cost. Verify the structure and avoid subtracting employer PF twice.

Why does gross differ from CTC?

CTC can include employer costs and conditional or non-cash benefits outside regular gross cash. Compare the component annexure.

Is HRA always tax exempt?

No. Its treatment depends on tax law, the applicable regime and qualifying facts. The calculator adds HRA as an earnings input and does not compute exemption.

Can I remove a deduction I disagree with?

Ask payroll for the calculation and supporting authority. Preserve the original record and request a corrected slip where justified.

Why is LOP entered separately?

Only use that field when the adjustment has not already reduced the earnings. Otherwise subtracting it again double counts the absence.

Does the tool issue a valid salary slip?

No. It produces draft arithmetic for review. Only the authorised employer process can issue the official payroll record.
